1. Welcome / Introductions

3. Website: www.bcxc.ca Would like every zone to post results regularly. (Greg)

  • Working hard on communicating in a timely manner via the website.

  • Encourage all zones to create simple websites for zone information – such as schedules & results.

  • Greg offered his assistance to any zone rep who was interested in setting up a website.

  • This should be every member’s first source of information.

  • Example – Registration was on-line two days after the deadline – Coaches need to be responsible for checking their entries and correcting them through the zone rep.

  • Any other volunteers/ nominations? It would be nice to have representation from other zones on the Commission and the Executive.

6. Financials Presentation of the Budget (Greg) Posted on Website since July.

  • Started with $200 from former Commission

  • 2012 charged $25 Entry Fee ( Subway was not yet on board)

  • Confirmed July 2013 – Subway committed to $8050 per year

  • BC School Sports - $4300

  • Decided to charge $15 per athlete including T-Shirt.

  • July balance - $9,900

  • Moved to Accept Financial Statement: Worsley (Elgin) Second Larry Seehagen (Burnaby North)

7. Sponsorship – Subway committed to $8000 per year- also interested in other opportunities

  • Very positive meeting with Subway promotions representatives in July – Nancy, Greg, Christine Bradstock & Andrew Lenton (Commissioner Track & Field)

  • Feedback on 2012/ 2013 events was very positive.

  • Commitment to support both new commissions as per the historical contribution of $23,000 per year ( $8000 to XC / $15,000)

8. Committees

  1. Championship Development Committee – For the past year this was made up of a group led by Al Niezen in the development of the BC Cross Country Championship Handbook – A huge thank-you to everyone who worked on the Handbook – A very professional job, and a great resource.

  • As concerns arise, this committee could be recalled to deal with issues.

  1. Championship Host Committee – Director & committee from host zone. (2014 – Al Niezen & Committee)

  2. Disciplinary Committee – Commissioner & 3 executive members (2013 – Brian Nemethy, Tom Carlson, Paul Skarsgard) It was unnecessary for this committee to deal with any issues this year.

  3. Public Relations: Open to volunteers – thanks to Maureen who took care of this for 2013. Thanks to Sean Dawson – West Point Grey Academy for agreeing to serve in this capacity for 2014.

  • Not having all zone result info accessible made it difficult for the Province reporter, Howard Tsamura to do a true ranking.

  1. Scholarship Committee –Since Subway has committed their sponsorship – the executive decided to provide two $500 scholarships to Grads each year. Application deadline will be December 15th. Scholarship winners will be determined for February 1st. * Proposed Application on website.

9. Future Championship Venues

An application to host has been loaded on the website. Ideally, it would be nice to choose from a few sites.



2014 – Vancouver Island – Al Niezen – Westshore Recreation Centre

  • Al Niezen spoke about the venue & planning for next year.

  • Discussion – Race Start times to address travel issues – Agreed to stay at 10:00 to meet the needs of set-up team

  • Discussion for 2014 – November 1st (Halloween Issues) vs. November 8th Went to motion:

2015 – Lower Mainland – Sean Dawson – Jericho Park

10. Awards

  • Zone Championships – Continue with Commission providing ribbons? Are there any zones who would like to take care of their own - $100 from the commission. Shipping costs are not necessary.



11. MOTIONS

WHEREAS, the BC Cross Country Commission currently has no formal printed guideline or rules.

MOVED: {(NIEZEN, (Mount Douglas) / HETHERINGTON, (DW Poppy)} BE IT RESOLVED BCHS Cross Country Championship Handbook (available at www.bcxc.ca ) be adopted as the basis for championship rulings, running the Championship event and the guideline on how the BC Cross Country Commission runs.

  1. Al Niezen addressed the development & philosophy of the Handbook as a living and evolving document.

  • Encouraged by idea of rotating schedule, and not having to start organizing an event from scratch. Provides for sound planning of the event.

  • Standardized course requirements – see handbook – Specifically address safety, and course guidelines.

  • Standardized Zone Qualification criteria

  • Minimum 1 league race participation prior to zones (league events can be sanctioned and agreed to by individual zones)

  • Promote TEAM participation in Cross Country

  • Junior race standards – determined today

MOTION CARRIED.

WHEREAS, Vancouver Island’s individual and team numbers have substantially increased based on zone participation data collected in 2011 and 2012.

MOVED: {CUNNINGHAM, (Reynolds) / ANDREWS (Campbell River Christian)} BE IT RESOLVED that the Vancouver Island zone berthing be increased to 5 team berths and 25 individual berths

MOTION CARRIED

WHEREAS, the BCSS members passed a motion to pilot Junior BC Championships.

AND

WHEREAS, the BC Cross Country Commission currently has no formal berthing process for a Junior Championship.

MOVED: {WORSLEY, (Elgin Park) /SMITH (Mouat)} BE IT RESOLVED the Junior berthing for future BCSS Junior Championships be half the Senior event rounded up for both individual and teams.

AMENDMENT TO MOTION- Worsley (Elgin) Seconded:

MOVED: BE IT RESOLVED the Junior berthing for future BCSS Junior Championships be 75% of the Senior berthing - rounded up for both individual and teams to a minimum of TWO team berths.

MOTION CARRIED

This berthing formula to be re-visited next year.

Some discussion about Senior Berthing formula – This can be revisited based on data collection over the last 3 years.

WHEREAS, the BCSS requires geographic zoning.

AND

WHEREAS, the BC Cross Country Commission currently runs Vancouver and Independent (Vancouver) zones separately.

MOVED: {(WORSLEY, (Elgin Park) / GABEL, (Fleetwood Park)} BE IT RESOLVED a committee formed of representatives from Vancouver, Independent and the BC Cross Country executive prepare a berthing formula that will meet the requirement of BCSS geographic zoning while still respecting fair & equitable representation of the current zone participation that will be presented at the 2014 AGM


  • Christine Bradstock (BCSS)

Addressed concerns about what was happening across the province with different sports with different zone alignments.

Original 7 zones were determined 30 years ago. With changes in population growth – there is discussion around the province on re—alignment at the BCSS level.

Example: Cross Country has 10 zones.


  • Vancouver schools were very well represented and unanimously opposed to this motion.
