GAJET Council Position Descriptions

 

1. President

The Presidents responsibilities are as follows:


  • Chief Representative of Gunma AJET.

  • Liaison to National AJET.

  • Responsible for year's events and maintains active AJET community.

  • Delegates responsibilities amongst GAJET council members.

  • Attend as many of GAJET's events as possible. Please note that it is not necessary for the president to attend ALL of them.

  • Be part of the Maebashi orientation council.

  • Help personally at the Maebashi orientation, or if necessary, organise the other members of GAJET to do so in his/her stead. In the event that the president is performing this duty, they will be required to make a short presentation about GAJET to the new JETs.

  • The GAJET president needs to be in contact at all times, ideally checking their president email account daily and replying promptly to important messages. As GAJET's "front-person" they will often begin to receive emails from new JETs from around May.

2. Vice President

 

The responsibilities are as follows:



  • Implements and organises GAJET events to schedule.

  • Ensures marketing of events is enacted and continuous prior to a function.

  • Liaises with National AJET and community organisations when required.

  • Compiles event information for National AJET when necessary.

  • Provides information and assistance to JETS, emails need to be checked regularly.

  • Organises GAJET`s participation in Tokyo Orientation.

  • Gathers and creates administrative resources and information material for Tokyo Orientation.

  • Assists at the Maebashi orientation.

  • Supports GAJET President, Treasurer, and Regional Representatives.

3. Secretary

The responsibilities are:



  • Records then distributes meeting minutes to council members.

  • Maintains GAJET Council position descriptions.  

  • Maintains past and present GAJET membership records.

  • Maintains GAJET and National AJET contact lists.

  • Maintains event information for future committees.

  • Maintains business and website contacts for prefecture and event information.

  • Completes any required administration for events.

  • Provides information and assistance to JETS, emails need to be checked regularly.

  • Gathers and creates administrative resources and information material for Tokyo Orientation.

  • Assists at the Maebashi orientation.

  • Supports GAJET President, Treasurer, and Regional Representatives.

4. Treasurer

The Treasurers responsibilities are:



  • Collects and counts money for GAJET.

  • Updates records before and after each GAJET event.

  • Deposits and makes payments via the post office.

  • Manages event budgets.

  • Maintains a financial overview.

  • Updates GAJET on its financial status.

  • Compiles and sends reports to National AJET.

 

 

5.Gunmania Editor

Gunmania is published quarterly. It follows the seasons - Summer, Autumn, Winter, and Spring. The editor:

 


  • Solicits submissions for Gunmania.

  • Edits the magazine digitally (using your preferred software, Adobe InDesign recommended), exporting it into a PDF.

  • Put the publication on gunmajet.net with the help of the webmaster.

 

 

6. Webmaster
The webmaster is responsible for:

 


  • Maintaining & updating the website, www.gunmajet.net

 

 

7. Regional Representatives

 

There are 5 regions: Tone, Tobu, Seibu, Chubu, Agatsuma



 

The responsibilities are:



  • Be a contact for people in the region if they have questions about things in the area, Gunma, or Japan.

  • Organise a few events for people in your region.

  • Help with organistaion of GAJET events as needed.

  • Assist and distribute regional information at the Maebashi orientation.

  • Assist at the Tokyo Orientation.

  • Send out greeting emails to incoming/ new JETs.

  • Send out emails about upcoming GAJET events, and try to answer any questions people in your region may have.

 

Each Region consists of:

 

1. Chubu Region: Maebashi,Yoshioka, Ikaho, Tamamura, Fujimi, Miyagi, Kasukawa, Ogo, Akabori, Sakai, Takasaki.

 

2. Tone Region: Minakami, Katashina, Numata, Showa, Kawaba.

 

3. Tobu Region: Azuma, Kurohone, Omama, Nissato, Tatabayashi, Kiryu, Ota, Kasakake, Yabuzukahonmachi, Nitta, Ojima, Oizumi, Oura, Chiyoda, Meiwa, Akagi, Itakura, Isesaki.

 

4. Seibu Region: Fujioka, Kanna, Ueno, Yoshii, Tomioka, Shimonita, Haruna, Kurabuchi, Shinmachi, Gunmamachi, Misato, Nanmoku, Matsuida, Annaka, Shimonita, Myogi, Nakazato, Manba.

 

5. Agatsuma Region: Higashiagatsuma, Kuni, Kusatsu, Naganohara, Nakanojo, Takayama, Tsumagoi, Agatsuma, Onogami, Komochi, Kitatachibana, Ikaho, Shinto, Yoshioka, Shibukawa.


 

These Positions are also available if required:

 

1. Vice-President

If it is decided that only a Vice President is needed then the responsibilities for the Vice President and Secretary roles need to be merged. As a suggestion for a requirement for a vice president it is recommended they have Japanese skills although this is not necessary.
